WHERE THE POSITION IS LOCATED:

WHY THIS ROLE IS IMPORTANT:

  • Become an expert in the Video Conference (VC) system
  • Help book travel and submit expenses for the DC team when needed.
  • Submit IT/helpdesk tickets and continue to follow up until there is a resolution
  • Helping to gain access to Shared-Drive folders
  • Develop a relationship with Desktop support (IT) to better obtain quicker and more efficient service when needed
  • Keeping office in order (stocking snack and work supplies, cleanliness)
  • Coordinate with building facilities management/property management to address suite related issues including:
    • Office Temperature and Comfort
    • Lighting concerns
    • Fitness Center Sign-up
    • Meeting and events on the Rooftop
    • Office billings
    • Parking concerns for the staff
    • Periodic disinfecting of common areas if possible
    • Door handles, light switches, fridge handles, etc.
  • Delivering packages and mail to the office staff as well as sending packages and mail for the office staff.
  • Loading in business card contacts for the DC office team
  • Refill tray under the coffee maker with coffees and Tea on a consistent basis
  • Refill the water in the coffee maker once in the morning and once in the early afternoon
  • Monitor and Refill Printer Ink and Paper as necessary.
  • Coordinate and disseminate corporate initiatives as needed.
  • Meet with the US Admin team as needed.
  • Learn about sustainability and try to implement the small changes
  • Adhoc requests that may come up
  • Real Estate Alert- print out and keep in folder

Reception Duties:

  • Setting guests up at the 1st floor Reception desk prior to arrival. (Based on input from DC team members)
  • Greeting and directing guests
  • Exchange outdated marketing material in the reception area and the conference rooms
  • Coordinate office events
  • Set up the conference room for meetings
  • Open the front door for employees and approved guest when they approach the front door when returning from restroom breaks, lunch, meetings etc.
