WHY THIS ROLE IS IMPORTANT:

  • Provides administrative support for the department such as answering telephones, assisting visitors, scanning in documents, mail intake and distribution, and resolving and/or referring a range of administrative problems and inquiries.
  • Effectively manages telephone and calendar, schedule meetings, maintain recurring meeting schedules and provide calendar conflict resolution.
  • Effectively screens visitors to control interruptions.
  • Handles ordering office supplies and maintaining office equipment.
  • Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for department heads, which may include coordinating calendars and travel with other personnel outside the department.
  • Posts, balances, monitors, and reconciles internal department monthly ledgers, budgets, and financial reporting system reports; may prepare drafts of budget planning documents.
  • Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.

THE BACKGROUND THAT FITS:

  • High School Diploma or GED. Bachelors Degree or Vocational diploma preferred, but not required.
  • Minimum of 3 - 5 years administrative support experience required.
  • Excellent PC skills (scanning, mail distribution, word processing, spreadsheets and presentation software).
  • Experience utilizing proprietary computer systems, and/or and ability to learn to requisite levels.
  • Knowledge of general accounting principles.
