WHAT YOU WILL DO:

  • Daily support of the Sales and Marketing team
  • Calendar management for the VP of Sales & Marketing as well as assist with 15 sales members’ calendars
  • Arrange international and domestic travel and prepare itineraries, agendas, reports, and presentation materials
  • Provide administrative support to entire team while they travel – could include: preparing reports, gathering documents, answering client questions, etc.
  • Monitor and update weekly staff schedules, meetings, and reports to ensure team is held accountable to VP’s metrics
  • Coordinate on and offsite meetings – WebEx meetings, conferences, support events, etc.
  • Maintain employee lists and email group
  • Update distributor events and proactively prepare materials as needed
  • Gather and research market intel and generate reports to share findings
  • Maintain display room and update list of machines available
  • Prepare, gather, and approve expense reports using Concur – troubleshoot problems for team
  • Work directly with accounting to gather, code, and processes invoices
  • Format, proofread, and edit documents, memos, presentations, etc. for VP and team
  • Monitor team’s budget, order office supplies, and purchase customer gifts when needed
  • Provide front desk coverage when needed (typically for breaks and vacations)

HOW YOU ARE QUALIFIED:

  • Must have at least an Associate’s Degree
  • 3+ years’ experience in a support role – sales support is preferred
  • Accustomed to being the main point of contact for a team, handling various projects simultaneously
  • Servant heart with a go-getter attitude
  • Excellent communication skills – verbal and written
  • Sharp organizational skills who can work well independently or in a team environment
  • Able to adapt to any situation and personality type
  • Professional, punctual, and dependable
  • Microsoft Office working knowledge (Outlook, Word, Excel, PowerPoint)
  • Experience with SharePoint and WebEx – desired
