WHAT YOU WILL DO:

  • Manage and coordinate overall administrative activities to ensure that resources are fully deployed, balancing work loads and providing high quality output
  • Assist VP with planning, scheduling and administration of key departmental activities, including travel, logistics, and agenda preparation
  • Review of contracts, investigation and confirmation of legal citations, sources, authorizations, etc.
  • Preparation of meeting materials, i.e. Power Point Presentations, scheduling conference calls and web based meetings
  • Filing and document retention
  • Follow up on action items - including interaction with internal immediate staff
  • Coordinate, process and report travel related expenses
  • Expense management, invoice processing, etc 

HOW YOU ARE QUALIFIED:

  • Minimum of 4 years of experience in Administrative or Executive Assistant roles, supporting executives in mid to large sized corporate environments, or large global law firms

ADDITIONAL QUALIFICATIONS:

  • Strong computer aptitude, to include proficiency in email, MS Office, etc. (to include Word, PowerPoint, and Excel)
  • Recent experience as a Legal Assistant or Executive Assistant within a large legal firm or legal department within a large organization.
  • Strong verbal, written and interpersonal communication skills
  • Able to work well independently and in a cross-functional team environment
  • Ability to organize, manage and prioritize work for department.
  • Detail oriented, with a “big picture” proactive approach to their work
  • Flexibility regarding changing priorities and deadlines
  • Multi-tasker, with proven follow-through and adherence to schedules
  • Able to maintain a high level of confidentiality
  • Demonstrate commitment to goals and priorities
  • Associate’s or Technical degree and/or commensurate technical skills acquired in relevant jobs
