WHY THIS ROLE IS IMPORTANT:

  • Assist 2+ executives providing administrative support in a corporate office
  • Heavy calendar management including coordination of internal and external meetings with high level stakeholders, conference calls, travel and events
  • Coordinate executive communications, including monitoring calls, mail, and email, as well as interfacing with global staff and customers
  • Assist in formatting, preparation, and distribution of documents and presentations
  • Coordinate intricate international travel including airfare, ground transport and accommodations within a set budget providing detailed travel itineraries
  • Handle day-to-day tasks as directed by team
  • Responsible for organizing files, documents, and reports for team
  • Coordination of both small and large meetings both on and off-site including room rentals, catering, equipment, and team activities
  • Management and submission of expenses for key members, including management of receipts and conversion of currencies
  • Provide back-up office support including phone coverage, office organization, catering needs, and travel for other staff as needed

THE BACKGROUND THAT FITS:

  • Bachelor’s Degree in Business, Communications, or related field
  • 3+ years of experience in an administrative support function
  • Self-started who is exceptional organized and detail oriented and
  • Able to make quick decisions and solve complex problems  
  • High standards of confidentiality and understand the importance of sensitive information
  • Technical skills: Microsoft Office Suite
